Why a clear statement matters
Most disputes with tenants start with a simple question: "how much have I paid and how much is left?" When you can answer in writing, dated and in order, the conversation turns from argument into checking numbers, and chasing arrears gets easier too.
What a tenant statement should include
- Contract details: contract number, property and the statement period.
- Each item or installment: its description and due date.
- Due, paid and remaining per item, so partial payments show.
- Late fees shown separately from the original installment, if any.
- Totals at the end.
Common mistakes in statements
- Folding the late fee into the installment so the tenant cannot see how the figure arose.
- A statement that hides partial payments, so it looks like nothing was paid.
- No clear period, so nobody knows up to which date it is correct.
- Manual edits that no longer match the original contract data.
Good habit: send the statement before the installment is due, not after; an early reminder with clear numbers reduces arrears.
How AZRAR produces statements
- A statement per contract: from the contract's financial card you print its "Statement" or save it as PDF from the print dialog, with a file name carrying the contract number.
- A monthly statement: on the installments page you pick the statement month and it lists due, paid and remaining per item with period totals, then you print or export it.
- Export to Excel: the installments page can be exported according to the current filters.
- Printing instruments: all of a contract's instruments on one page, or a single installment.
The monthly statement is available in the Windows desktop app. The figures come from the same contract and collection records, so you never enter them twice.
