AZRAR User Guide

A practical, detailed guide from zero to pro — everything you need to run your real estate office: from installation and activation, through creating contracts and collecting installments, to reports and backups.

Installation & Activation

You only need a Windows PC — no servers, no cloud subscriptions. Getting started:

Download & install

  1. Download the latest version (AZRAR-Setup.exe) from the link we send you.
  2. Run the installer. Windows may show “Windows protected your PC” — this is normal for new apps; click More info then Run anyway. The app is signed and safe.
  3. Finish installation like any Windows app; a desktop shortcut is created.

First launch & free trial

  1. On first launch, read and accept the End-User License Agreement (EULA).
  2. A 30-day free trial starts automatically with all features — no credit card.

Permanent activation

  1. Open the Activation screen and copy your Device Fingerprint.
  2. Send it to us via WhatsApp or email; we'll send back your license file.
  3. Load the license file from the Activation screen — the system unlocks fully, forever.
Requirements: Windows 10 or 11 (64-bit). The system runs fully offline in local mode. The license is bound to the device fingerprint — to move it to another PC, contact support.

Initial Setup & Users

Before entering any contract, set your office identity and create staff accounts — it saves a lot of time later.

Office details

Users & roles (RBAC)

Create an account for each employee and assign one of four roles:

Security tip: grant each employee the least privilege needed for their job. Every action is recorded in the Audit Log with username and timestamp.

Database & Sync

You have two ways to store data — pick what fits your office size:

Default mode (local)

The system runs directly on a local database (SQLite) on your PC — with no setup and no internet. All your data is stored locally and backed up automatically. Ideal for a single-PC office.

Multi-device sync (SQL Server) — optional

If you want to share the same data across several PCs in the office:

  1. Install SQL Server Express (offered during installation, or install it later). It creates a database and stores connection details in ProgramData\AZRAR\sql-local-credentials.json.
  2. Open “Server & Connection Settings” from the side menu.
  3. Enter the connection details: Server, Database name, User, Password — or use the auto-import button from the install file.
  4. Click Save then Connect, and confirm the status shows “Connected” ✅.
Note: SQL Server sync needs a network/internet during setup. Local mode always works offline. With sync, conflicts are resolved automatically between devices on the same server.

Dashboard

This is your daily starting point — it shows your office status at a glance right after you log in:

Tip: start your day from the Dashboard, then jump to Bulk WhatsApp to remind overdue tenants in one click.

Properties

Register your portfolio first so you can link contracts, maintenance and reports later.

  1. Open PropertiesNew Property.
  2. Enter unit details: internal code (auto-generated), type, location, area, owner and status (available / rented / sold / vacant).
  3. Attach photos and documents (deed, floor plan) to each unit for easy reference.
  4. Save — the unit instantly reflects in the occupancy rate on the Dashboard.
Tip: enter each unit once, accurately; the system then links it automatically to every contract, maintenance request and report.

Clients & Owners

Build one unified database of tenants, owners and brokers — each person gets a full profile and history.

  1. From People, click Add and choose the type (tenant / owner / broker).
  2. Enter the full details: name, phone, national ID and contact method.
  3. Use the blacklist to flag non-compliant clients and get alerted when dealing with them.
Each person has a complete history of contracts, payments and interactions — shown the moment you open their profile.

Contracts & Installments

The heart of the system — a contract links a property to a tenant and auto-generates an accurate installment schedule.

  1. Open ContractsNew Contract, and choose the property and tenant from your database.
  2. Enter the annual rent value, start date, duration and number of payments.
  3. Choose the payment frequency (monthly / quarterly / yearly).
  4. The system calculates installments automatically using actual days (28/29/30/31) — full financial accuracy that protects both you and the client.
  5. Save the contract → it's ready to print, generate the legal document and export as PDF, and the installments (promissory notes) are generated automatically.
Tip: you can edit any installment's amount or date later from the contract's financial card — the system re-balances everything automatically.

Collection & Payments

Track due and overdue installments, and record payments quickly without leaving the page.

Recording a payment

  1. From the contract's financial card or the Payments page, open the due installment.
  2. Click “Pay” and enter the amount — full or partial. The balance updates instantly without closing the page.

Commissions

Automatic sale and rental commission calculation for each broker or employee linked to a contract.

  1. Set the commission rate at the contract or employee level.
  2. The system calculates the commission automatically when a deal closes or a payment is collected.
  3. Export a detailed commission report per broker whenever needed.

Bulk WhatsApp

Send personalized messages to your tenants in bulk — your most powerful follow-up and collection tool.

  1. Open Bulk WhatsApp and pick a segment (overdue / expiring soon / all).
  2. Pick a ready template (payment reminder, renewal notice) or write your own.
  3. The system inserts each client's name and amount automatically.
  4. Send → chats open one by one for sending from your number.
Tip: send the reminder before the installment due date — it noticeably raises on-time payment.

Maintenance

Organize maintenance requests and costs per unit.

  1. Log a maintenance request with priority (urgent / normal) linked to the relevant unit.
  2. Track the status (new / in progress / done) and cost.
  3. Each unit keeps a full maintenance history, shown in its profile and the owner report.

Important: your financial data and contracts are irreplaceable — make sure the backup folder is safe and a recent external copy exists.
