What should a payment receipt carry?
- A receipt number so it can be traced later.
- The amount received, clearly.
- The payment method: cash, transfer or cheque.
- The date, plus the payer and the related contract.
Receipt and payment vouchers: why attach the image?
The voucher is the evidence. When you photograph the receipt or payment voucher and keep it with the financial record itself, you are not digging through office drawers months later, and every number in your reports has a source to point to.
How to pay an owner and document it
- Tie the payout to the installments it covers, not to a floating amount.
- Record the date, the payout method and the bank reference if there is one.
- Pay the net after commission: the owner receives the net, not what the tenant paid.
- Keep the transfer or cheque image with the record.
Watch out: paying an owner the gross amount before deducting the commission is one of the costliest mistakes in property accounting.
